1. Who this policy covers
This policy describes how HOPE CME (Health Orientation & Practical Education) collects, uses, and stores personal data when you use https://hopecme.com and the Hope Connect mobile app.
HOPE CME is the controller of that data. Questions: info@hopecme.com.
2. Data we collect
We collect only what the product needs to run HOPE events, membership, education, and on-site operations.
Account and membership
- Name title, first name, last name, email address
- Password (stored hashed; we cannot read it)
- Google account email and name if you continue with Google
- Phone, affiliation, specialty, job title, country, and other answers you enter on the membership or event application forms
- Profile photo and documents you upload (for example certificates)
Events and on-site use
- Event applications, approval status, badges, and check-in records
- QR codes used to identify an approved guest at doors, sessions, and exhibition points
- Live quiz and poll answers during an event
- Network / chat messages and optional voice notes you send
Device and sign-in
- Access and refresh tokens stored in the device secure store
- Optional saved sign-in unlocked with Face ID, Touch ID, or fingerprint (credentials stay on the device)
- A local visitor identifier on the phone used to tell repeat visits on that device apart
- App version and basic technical logs needed to keep the service running
Camera, microphone, and files
- Camera: guest badge QR check-in
- Microphone: voice notes in My Network and staff push-to-talk
- Files: documents you pick to attach to a profile, application, or support ticket
Clinical reference tools in Hope Connect
- Bilirubin treatment lines, growth charts, and vaccine schedules are clinician reference tools. Values you type for those calculations stay on the device unless you choose to share a result
- Pediatric Drug Calculator: when you search a brand or active ingredient, the LLM may list matching product names that are not on the short billed-sponsor or exclusion list. When you type a condition, the unfinished phrase and the selected product name may be sent to the LLM to complete that phrase. When you run a dose recommendation, the child context you enter (weight, age or birth date, length, head circumference, condition and allergy notes) is sent to the LLM so it can suggest one mg/kg rate inside the retrieved listing range for that child. That listing range is typical pediatric text from the LLM, not a scanned pack leaflet, except recognized co-amoxiclav packs (UK SmPC bands) and coded WHO Pocket Book / IMCI ingredients where HOPE overwrites the mg/kg band. We do not store that child context as a patient record
- These tools are educational reference for qualified practitioners. They are not a medical device and do not replace clinical judgement or local protocols
3. How we use the data
We use personal data to:
- Create and authenticate your account
- Review membership and event applications
- Run check-in, badges, agenda, quizzes, exhibition, and staff operations at HOPE events
- Provide Library, Toolkit, Challenges, and Network features you use
- Send transactional email (for example membership review and password reset)
- Investigate abuse, security incidents, and support tickets you submit
- Meet legal obligations
4. Legal basis
Where GDPR or similar law applies: contract (to provide the account and event services you request), legitimate interest (security, fraud prevention, keeping the service working), and consent (optional features such as biometric unlock or Google sign-in).
5. Sharing
We do not sell personal data.
We do not use personal data for advertising, marketing lists, or ads.
We do not share personal data with other agencies, companies, or third parties for their own purposes.
Infrastructure providers host the website, API, file storage, and email delivery so the service can run. They process data only to operate HOPE CME and Hope Connect.
Live audio and video for staff push-to-talk and live sessions are processed in real time by our meeting provider (LiveKit) to connect participants. HOPE CME does not offer a meeting-recording feature in Hope Connect.
If you continue with Google, Google authenticates you and returns the identity you allowed.
If you use Pediatric Drug Calculator, OpenAI may receive a search query, an unfinished condition phrase, and the child context you submit for a recommendation so it can return product names, condition completions, or one mg/kg rate inside the retrieved listing range. That listing is not a scanned pack leaflet. OpenAI is not given that data for advertising.
6. Retention
Account, membership, application, check-in, and message data stay while the account is active and as long as we need them for the event, membership, or legal record.
Device tokens and saved sign-in remain on the device until you sign out, forget saved sign-in, or uninstall the app.
Pediatric Drug Calculator child context and condition completions are sent for those requests and are not kept as a patient record.
7. Account and data deletion
You can request deletion of your HOPE CME account and associated personal data. Open https://hopecme.com/account-deletion or email info@hopecme.com from the address on the account with the subject “Delete my HOPE CME account”.
We confirm the request, then delete the account and associated personal data. We may keep a minimal record of the email address and the deletion request where law requires it (for example to show we completed the request, or to block recreation used for abuse).
8. Your rights
You may ask to access, correct, or delete your personal data, or to restrict or object to processing, by writing to info@hopecme.com. You may also lodge a complaint with a data-protection authority in your country.
9. Security
The website and API use HTTPS. Passwords are hashed. Session tokens on Hope Connect are stored in the device secure store. No method of transmission or storage is perfectly secure; report suspected incidents to the contact email.
10. Children
HOPE CME and Hope Connect are for adult practitioners and event staff. We do not knowingly collect personal data from children under 16, and we do not target children.
11. Changes
We will update this page when the product’s data practices change. The date at the top of the page is the current version. Material changes may also be sent to the email on your account.
